About the role

Reporting to the Office Services Specialist, the position of Office Services Assistant provides support services to the Office Services Specialist and staff at the Central Office for the efficient operation of the facility.

The successful candidate will be responsible for, but not limited to:

  • Providing general administrative services, including filing, routine correspondence, record management, and retrieving records, documents and reports to support the effective operation of the office
  • providing concierge services to visitors to the Central Office
  • distributing mail and assisting with courier services
  • routinely cleaning office desks, meeting rooms and lunch rooms
  • restocking kitchens and common areas
  • supporting staff development days in the Central Office
  • refilling photocopiers and stationery supplies throughout the building
  • assisting in the general care and maintenance of the chapel
  • assisting in the cafe, serving coffee and food
  • scheduling meetings, invitations and greeting guests
  • updating records and databases, complying with records management processes to ensure information is accurate, stored correctly and accessible.

About you

To be successful in this position, you must possess:

  • Previous experience in administration, hospitality or office management
  • demonstrated computer literacy through proficiency in Microsoft Office packages, including Word and PowerPoint, SharePoint, Google mail/apps, and a Payroll Human Resource information system
  • demonstrated high-level verbal communication and interpersonal skills
  • demonstrated personal initiative and ability to work effectively as part of a wider team
  • demonstrated excellence in customer and client service at all levels.
